Fleet Coordinator/Office Administrator

Supporting the Installation & General Services Manager to provide a professional administrative service on all levels, with the main focus on fleet and general services within the business. Looking to continuously improve the quality, efficiency and effectiveness of services offered. A proactive and forward thinking approach is required with a hands on and can do attitude.

Main Responsibilities

  • First point of contact for all visitors, ensuring they sign in to the guest book on arrival and any other ad-hoc reception type duties.
  • Answer/transfer calls and take messages
  • Take bookings for the meeting rooms
  • Arrange hospitality, flights and accommodation for members of staff
  • Update all telephone lists, ensuring the information is current
  • Management of incoming and outgoing mail
  • Checking and restocking of staff facilities, i.e. tea, coffee etc.
  • Ordering stationery and other supplies as and when required
  • Ordering corporate clothing for members of staff
  • Local point of contact for relevant internal supplies contractors
  • 2nd point of contact for all building related issues
  • Undertake all duties in order to maintain an efficient and effective fleet management process
  • Fleet inductions for new starters
  • Liaising with lease and hire companies and any other fleet suppliers
  • Answering queries from company vehicle users
  • Ordering new company vehicles
  • Maintaining fleet records
  • Working closely with the fleet coordinator in Bradford for support and also to provide assistance where required
  • Any fleet reporting as and when required
  • Any other fleet administration duties

Experience and Key Skills

  • Good level of Excel & Word and other IT skills
  • Accuracy and attention to detail
  • Good time management and prioritisation skills
  • Ability to be flexible to meet changing demands
  • SAP experience useful, however training will be given
